This Privacy Policy explains how SeoMation ("SeoMation", "we", "us"), an Ontario, Canada business, collects, uses, discloses and protects personal information when you visit https://seomation.com (the "Website"), book a call with us, or contact us. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada's Anti-Spam Legislation (CASL).

1. Information We Collect

  • Information you give us: your name, email address, phone number, business name, website and the details you share in a contact form, a booking, an email or a call.
  • Booking information: when you book a call through our scheduling tool (Cal.com), we receive the details you enter (name, email, time zone, notes) and the booking time.
  • Technical and usage information: IP address, browser and device type, pages viewed, referring page, approximate location and interaction events (such as a completed booking), collected through cookies and similar technologies.

2. How We Use Information

  • To respond to enquiries, schedule and hold consultations, and prepare proposals.
  • To provide, manage and bill for our services under a signed Proposal.
  • To understand how the Website is used, measure which pages and campaigns lead to enquiries, and improve the Website.
  • To send service messages and, where you have consented or CASL otherwise permits, information about our services. Every marketing message includes an unsubscribe option.
  • To protect the Website and meet legal obligations.

We do not sell your personal information.

3. Consent

We collect, use and disclose personal information with your knowledge and consent, except where the law allows otherwise. By submitting a form or booking a call you consent to us using your information to respond to you. You can withdraw consent at any time, subject to legal or contractual restrictions, by contacting us (Section 9). Analytics is limited to measuring Website use and bookings; you can decline it by blocking cookies in your browser or using the opt-out tools described in Section 4.

4. Cookies and Analytics

The Website uses cookies and similar technologies that are necessary for it to work and, depending on your choices, for analytics. We use Google Analytics 4 and Matomo to measure traffic and bookings. You can block or delete cookies in your browser settings, enable your browser's Global Privacy Control or Do Not Track setting, or use Google's Analytics opt-out browser add-on; some features may then not work properly.

5. Who We Share Information With

We share information only with service providers that help us run the Website and our business, and only as needed for their service:

  • Website hosting and infrastructure providers, and Cloudflare (DNS, security and performance).
  • Cal.com (online scheduling).
  • Google (Analytics, Search Console, email and workspace tools).
  • Our CRM, automation, email and messaging tools used to manage enquiries and client work.

We may also disclose information if required by law, to protect our rights, or in connection with a sale or restructuring of the business.

6. Where Information Is Stored

Our providers may store or process information outside your province or outside Canada, including in the United States. In those jurisdictions the information may be accessible to courts and authorities under local law. We use providers that apply reasonable safeguards.

7. Retention and Security

We keep personal information only as long as needed for the purposes above or as required by law (for example, financial records), then delete or anonymize it. We use reasonable administrative, technical and organizational safeguards, but no method of transmission or storage is completely secure.

8. Your Rights

Under PIPEDA you may ask to access the personal information we hold about you, ask us to correct it, withdraw consent, or ask questions about our practices. We will respond within the time required by law. If you are not satisfied, you may contact the Office of the Privacy Commissioner of Canada (www.priv.gc.ca).
